Task Types

LaunchBay offers flexible task types to help you manage client deliverables, team workflows, and everything in between. With recent updates, it’s easier than ever to control task visibility, assign the right people, and streamline collaboration—all from a single, unified task builder.

This guide explains the two main task types available in LaunchBay and how each one works in the portal, including new behavior around Portal Tasks and Private Tasks

Portal Tasks (formerly “Client Tasks”)

Portal Tasks are tasks shared directly with clients in their portal. These tasks are visible and accessible to any client users on your project, plus a highly requested update - you can now also assign team members and clients to the same task. This means both your team and the client can collaborate within the same task thread—helpful for tasks like contracts, approvals, or status updates that benefit from shared visibility.

When you create a Portal Task:

• Clients will see the task in their portal immediately upon activation
• Add forms, file uploads, invoices, contracts, or proofs to collect structured input or approvals.
• Use task tags and automations to trigger follow-ups or additional actions.

Private Tasks (formerly “Team Tasks”)

Private Tasks are internal-only. They’re only visible to your internal team and are not shown in the client portal. Use Private Tasks to manage behind-the-scenes work like preparing deliverables, internal QA, or admin coordination.

When you create a Private Task:

• Only team members assigned to the project can see and complete the task.
• Add forms, file uploads, and even assign tags or automations for internal workflows.

Assigning Team and Client Users Together

One of the most powerful updates is the ability to assign both team members and clients to the same Portal Task. This is perfect for collaborative handoffs or tasks where both parties need to contribute—like onboarding steps, shared proofs, or feedback loops.

When both roles are assigned:

• Clients can view and complete their part from the portal.
• Team members can track activity, leave notes, and manage progress from the admin dashboard.
• Everyone stays aligned within a single task—reducing miscommunication and back-and-forth.
