Portal Tasks
Portal Tasks in LaunchBay allow you to collect everything you need from clients—file uploads, form submissions, approvals, signatures, and more—directly through their LaunchBay portals. With support for assigning both clients and team members to the same task, Portal Tasks are perfect for collaborative work like reviewing contracts, gathering feedback, or tracking shared responsibilities.
📢 Note: Portal Tasks are created in Draft mode by default. This allows your team to build and modify tasks without clients seeing them until you're ready. Once published, they'll appear in the client portal with any attached files, forms, or action items included. Learn more.
How Portal Tasks Work
Portal Tasks are visible to clients in their LaunchBay portal once published and assigned. These tasks support due dates, automated reminders, and content blocks such as forms, files, invoices, or contracts.
Whether you're sending onboarding steps, requesting approvals, or collecting feedback, Portal Tasks are your go-to method for driving client engagement and delivering clear next steps in the portal.

How to Create Portal Tasks
To create a Portal task, select a project and navigate to the Tasks page of that project. Next, click the button labeled "Create Task." When creating tasks in a brand new project, the Create Task button will appear near the center of your screen.

If you're creating tasks in an existing project where you've set up project stages, clicking the gray "Add Task" button in a stage will automatically assign the task you create to that stage.

Then, add a clear title, assign the task to a client, a team member, or both, set a due date, and attach any necessary content—such as forms, files, or invoices. Once everything is configured, click Save & Send to publish the task directly to the client portal, making it visible and actionable for the assigned users.

Assigning Team Members & Clients to Portal Tasks
Portal Tasks now support assigning team members alongside clients, making collaboration easier and more transparent. When a team member is added to a Portal Task, they can work on the task internally—reviewing submissions, managing attachments, or completing setup steps—while the client completes their portion in the portal.
This is especially useful for shared workflows like contracts, approvals, or invoicing, where both your team and the client are involved. Assigning both parties to the same Portal Task keeps all communication, context, and progress in one place without exposing internal-only details to the client.
