Project Progress Tracker
LaunchBay's built-in Project Progress Tracker lets you provide customers with clear visibility into the status of their projects—from onboarding to offboarding—directly in their client portals.
This article will explain how the Project Progress Tracker works and how to control which stages appear in it.
👋 Tip: When you invite clients to multiple projects, they can toggle between them in the left-hand menu of their portal and access the Project Progress Tracker for each project on its corresponding "Tasks" page.
How the Project Progress Tracker Works
When you create a project (either from scratch or from a template), LaunchBay automatically includes a Project Progress Tracker that clients can access from their portal's "Tasks" page.

By default, the Project Progress Tracker will display all stages—Draft, Active, and Complete—giving clients a full view of progress from start to finish. Stages set to Private or Archived will not appear in the tracker or anywhere else in the client's portal.

Private Stages
If you want to keep a stage internal and out of the client's view entirely, you can mark it as private. Private stages are hidden from the Project Progress Tracker and all other areas of the client portal.
To make a stage private, click the three dots next to the stage name of a Draft stage, and select "Make Private."

📣 Note: To keep client-facing information secure, there are guardrails in place around private stages. If a stage is still in Draft, you can add a public task to it—but you'll see a notice letting you know the stage will become public once activated. If the stage is already active, the public task option will be greyed out, and a tooltip will explain why.
Archiving Stages
If you no longer need a stage, you can archive it to remove it from the project view entirely. Archived stages are hidden from both your team's project view and the client portal. To archive a stage, click the three dots next to the stage name and select "Archive."
To view or restore archived stages, click "Filters" at the top of the Tasks page and enable the option to show archived items.

Previewing the Project Progress Tracker
To preview the Project Progress Tracker, select a LaunchBay project or template, and click "Preview" in the upper right corner of the portal editor.
In the portal preview that opens in a new tab, click the "Tasks" page to see how the Project Progress Tracker will appear to your clients.
Sharing Progress Updates
Subscribe to Progress Notifications
Clients can also subscribe to real-time progress tracker updates. When enabled, they’ll receive immediate email notifications as tasks or stages are completed, giving them better visibility into progress without needing to check the portal manually. This helps keep your clients informed, engaged, and confident in the work you're doing.
