Task Tags in LaunchBay

Task Tags in LaunchBay are a simple but powerful tool for organizing your work and automating key steps in your client workflows—especially during onboarding and other high-impact moments. By labeling tasks with consistent tags, you can filter tasks across projects, trigger automations, and give your team better visibility into what’s happening and what needs action.


How Task Tags Work

Task Tags are labels applied to individual tasks. They allow you to:

  • Quickly identify the purpose of a task (e.g., contract, invoice, approval)
  • Filter and sort tasks across all projects in the Task Dashboard
  • Trigger automations when a tag is added or removed

Some common tag examples include:

  • Contract – for tasks that involve document e-signatures
  • Invoice – for payment request tasks
  • Follow-Up – to prompt a check-in call task
  • File Approval – to organize review workflows

Creating & Applying Task Tags

To create a Task Tag, go to Account Settings > Tags > Task Tags and add any tags your team wants to use consistently. Once created, Task Tags can be applied:

  • To tasks inside any project or template
  • Automatically through templates so every new project includes them
  • On the fly, while editing or managing active tasks

From the Task Dashboard, your team can filter by tag to view all tasks of a certain type across all clients and projects.


Assigning Team Members with Tags

If you're on the Scale plan, Task Tags can do even more: you can assign a specific team member to any task that receives a certain tag. This helps eliminate manual task triage and ensures the right person is always responsible for the right type of work.

For example, you could set up a rule so that:

  • Tasks tagged with "Contract" are automatically assigned to your Account Manager
  • Tasks tagged "Follow-Up" are routed to your Support Lead
  • Tasks tagged "Design Review" go directly to your Creative Director

Once this setting is configured in your tag management screen, LaunchBay will immediately update the task assignee the moment the tag is applied—whether it happens manually or through a template.

This feature is especially helpful in high-volume environments where quick response times and role clarity are essential.

Automating with Task Tags

Task Tags become even more powerful when paired with LaunchBay’s built-in automations.

You can create automation rules so that when a specific tag is added (or removed), LaunchBay takes action automatically. For example:

Adding the Follow-Up tag could trigger a new task that invites the client to book a check-in call—with your calendar embedded.

This saves your team time, improves follow-through, and ensures no client falls behind in the process. LaunchBay can even continue sending reminders until the follow-up task is completed.


Task Tags vs. Project Tags

While Task Tags and Project Tags sound similar, they serve very different purposes. Here’s a quick breakdown:
