Managing People in the CRM

LaunchBay's built-in CRM allows you to add and manage your clients, view their project history, track communications, and access a full picture of their activity — all in one place.

This article will explain how to create and manage people in LaunchBay's CRM and the information you can access.

How to View People in the Client Directory

To create, view, and edit clients in the directory, click "People" in your account sidebar under "Clients".

On the "People" page, you'll see a list of all clients added to your account. In addition to name, email, and company, the columns to the far right (explained below provide additional high-level information about each client.


1. Projects: The total number of LaunchBay projects you have invited a client to.

2. Added: The date you or a team member created the client in LaunchBay.

3. Last Login: The most recent date on which the client accessed their project or portal. This date will only populate after you invite a client to a project.

4. Actions: Click to 3 dots to open the actions menu, where you can view or delete the person.


Adding People

All individuals you've added directly to the CRM, invited to projects, or assigned to tasks will appear in the People list.


To add a new client, click the "Add Person" button in the upper right corner. In the modal that appears, enter the client's details and save your changes.


When adding clients, the "Company" field lets you associate a client with a specific company. You can assign them to an existing company by selecting it from the dropdown, or create a new company by clicking the "+" icon on the right side of the modal.


📣 Note: Associating a client with an existing company does not automatically add them to projects other clients in the same company have access to. To give clients access to a project, you must first invite them. The section below explains how to do this.

How to Invite Clients to Projects from the CRM

After creating a client in your CRM, you can easily invite them to join a new project. Click on the client's name to open their profile, then click the Projects sub-tab. From here, click the blue "New Project" button where you can easily build your new project, including template, project owner, and more.

How to Edit and Remove Clients in the Directory

To edit or remove a client, click the three dots under the "Actions" column and select an option from the dropdown.

Clicking "View" in the dropdown will open their profile and allow you to modify the client's company and title. Clicking the "Remove" action will delete the client from your account, remove them from any projects you invited them to, and make it so they can no longer access their portal.

👋 Tip: If you accidentally remove a person, you can easily add them back to your Client Directory by clicking the "Add Person" button at the top right corner.

Viewing Clients in the Directory

To open a client profile, click on the client's name from the People page. At the top of the profile, you'll see a quick-glance summary of their key information — name, email, company, and phone number. Click the pencil icon to edit any of these details.

The client profile is organized into the following tabs:

Overview: The Overview tab provides a summary of all items associated with the client — projects, invoices, forms, emails, and activity — giving you a high-level snapshot of the full relationship.

Projects: A list of all projects the client has been invited to. Active projects display a progress bar so you can quickly see where things stand. Click a project name to open it directly.

Invoices: All invoices associated with the client, in one view. Click any invoice to view the associated task.

Forms: All form submissions associated with the client. Click any form to view the associated task.

Emails: A feed of all emails LaunchBay has sent to the client — including the date, time, and open status for each message. Click the eye icon to preview any email without leaving the CRM. When a client opens an email, an "Envelope" icon will appear — hover over it to see the exact date they opened it.

Activity: A complete feed of the client's recent actions across all projects — including completed tasks, uploaded files, submitted forms, signed documents, comments, and more. Clicking links to tasks in the activity feed opens a modal window so you can view task details without leaving the CRM.
